CRM, calendar and payment — connecting your website to the tools you already use

A lead landing in an email inbox isn't a lead — it's a sticky note that disappears. In 2026 it is completely outdated to let your website be an isolated island. It must talk to your CRM, calendar, payment provider and industry system. Here is how we do it in practice.

    Why integrations decide your conversion

HubSpot's research on lead response time shows that the chance of qualifying a lead drops 80 % if you wait more than 5 minutes to respond. If the lead is sitting in an email you discover the next morning, it is essentially lost. A direct CRM connection with push notification changes everything.

The four integrations most businesses need

    1. CRM (HubSpot, Pipedrive, Salesforce, Zoho)

Every lead from the site, chatbot or booking should automatically flow into the CRM with:

    • Name, email, phone
    • Which page they came from (attribution)
    • What they asked about (chat excerpt or form field)
    • Score based on qualification
    • Auto-assigned to the right salesperson

Most CRMs have open APIs. Webhook-based integrations typically take 1–3 hours to set up.

    2. Calendar (Google Calendar, Microsoft Outlook, Calendly)

Booking directly into the calendar, not via an intermediary. Key requirements:

    • Real-time availability check (no double bookings)
    • Respects free time and lunch breaks
    • Sends invitation to both customer and staff
    • Includes video link (Zoom/Teams/Google Meet) if relevant
    • SMS and email reminders

    3. Payment (Stripe, PayPal, local providers)

For services requiring upfront payment or deposit. Stripe has excellent SDKs that make integration easy. Important: PCI compliance is handled by the provider, not by you.

    4. Industry systems (accounting, time tracking, inventory)

This varies a lot by vertical. Some examples:

    • Clinics — EHR systems
    • Real estate — MLS/listing platforms
    • Tradespeople — quote and field service apps
    • Restaurants — POS systems like Lightspeed, Square

Always ask your website provider whether they integrate with your industry system — or can build it.

Webhook vs. native integration — what's the difference?

A native integration is a pre-built connection between two systems, maintained by the vendor. Stable but limited to what the vendor offers. A webhook sends data from system A to a URL on system B. More flexible but requires some setup.

For SMBs we typically recommend a combination: native where available (Stripe, HubSpot, Google Calendar), webhooks where not.

    The most common integration problem

Duplicate leads. If the customer submits the form twice, or the chatbot creates a lead at the same time as the form, you end up with duplicates in the CRM. Fix: use email or phone as a unique key and update the existing lead instead of creating new ones.

    Security and GDPR

All integration must respect GDPR. That means:

    • Encrypted transfer (HTTPS, signed webhooks)
    • DPA with all systems processing personal data
    • Right to deletion honored across all systems
    • Clear consent before data is shared

    Costs

    Integrations typically cost:

    • Standard CRM/Calendar: Often included in the website package (€0–200 one-off)
    • Stripe: Transaction fees (1.4–2.9 %), no setup
    • Custom industry system integration: €500–2,500 one-off

    Frequently asked questions

How long does a CRM integration take?+

Standard HubSpot/Pipedrive: 2–4 hours. Custom CRM or industry system: 1–2 days. We set it up as part of the website delivery.

Can I switch CRM later without losing data?+

Yes, if the site uses an open integration. Export/import between HubSpot, Pipedrive and Salesforce is standardized.

Do I need a developer to maintain the integrations?+

No, not in a modern SaaS solution. Your website provider handles integration operations as part of the subscription.
